D.I.Y. Guide: How to Get a Federal Tax ID Number

There are two traditional ways to get an Employer Identification Number (or Federal Tax ID) with the IRS, and one super easy way.

Option #1: Online

Visit the IRS website and begin your application online with the EIN Assistant.

You’ll be guided through 5 Main Steps:

  1. Identity
  2. Authenticate
  3. Addresses
  4. Details
  5. EIN Confirmation

Here’s what you’ll need to know before you begin:

  • Type of Business Entity (i.e. corporation or LLC)
  • Date of Formation
  • Name and Address of Business
  • Number of Members and/or Managers (if applicable)
  • Location of Business (county and state / territory)
  • Reason for EIN (i.e. “started a new business”)
  • Name, Address and SSN, ITIN, or EIN for Someone Responsible for Your Company (the “Responsible Party”)
  • Number of Employees Expected in the Next 12 Months (if applicable)
  • First Date Wages Were Paid (if applicable)
  • Principal Activity of Business and Type of Goods of Services Produced
  • Whether the Applicant has Applied for an EIN Before

Option #2: By Mail

The same basic EIN application can be completed on paper and submitted via mail. The paper form (Form SS-4) is divided into 18 sections:

  1. Legal name of entity (or individual) for whom the EIN is being requested
  2. Trade name of business (if different from name on line 1)
  3. Executor, administrator, trustee, “care of” name
  4. Mailing address
  5. Street address (if line 4 is a P.O. Box)
  6. County and state where principal business is located
  7. Name and SSN, ITIN, or EIN of Responsible Party
  8. Number of LLC Members (if applicable)
  9. Type of Entity (i.e. LLC, Corporation, etc.)
  10. Reason for applying (i.e. “started new business”)
  11. Date business started or acquired
  12. Closing month of accounting year
  13. Highest number of employees expected in the next 12 months (if applicable)
  14. Indicate whether you plan to file Form 944 annually,* rather than Form 941 quarterly
  15. First date wages or annuities were paid (if applicable)
  16. Principal activity of your business
  17. Principal line of merchandise sold, specific construction work done, products produced, or services provided.
  18. Has the applicant entity shown on line 1 ever applied for and received an EIN? (indicate “yes” or “no”)

*Form 944 is only available to companies that expect their employment tax liability to be less than $1,000 per calendar year.

Your application must also include the name and signature of the person filing it. When you’re ready to submit your application, the address where you’ll want to send Form SS-4 depends on where your principal business address is located.

Can a Non-U.S. resident get an EIN?

You can get an EIN for your U.S. business even if you don’t live in the states. However, you won’t be able to apply online. Delaware business owners who are non-U.S. residents can apply for an EIN using any of the following options:

You can apply for an EIN with an Individual Taxpayer Identification Number (ITIN).

What is a Federal Tax ID Number?

A Federal Tax ID Number is the unique set of numbers assigned by the IRS to you or your company. When paying taxes to the IRS, you will be required to have one. Types of Tax ID Numbers (TINs) include:

  • Employer Identification Number (EIN)
  • Individual Taxpayer Identification Number (ITIN)
  • Social Security Number (SSN)

Do I need an EIN for my business?

While not every business is required to have an EIN, most are. If you own a single-member LLC, for example, you could pay business taxes on your personal federal tax return. However, if your company has employees (or plans to have employees), you will be required to have a TIN for payroll taxes.

Beyond payroll obligations, there’s a good chance you’ll need an EIN to open a business bank account. It’s often required as part of the application process.

Do holding companies need an EIN?

The IRS will tell you that LLCs used as holding companies do need to have an EIN. Even if your company doesn’t make money, you should file a federal tax return and report your income as “zero.”
